A rental property spreadsheet that runs your rentals like a business
This rental property spreadsheet helps you analyze a deal before you buy, then track every dollar once you own it. Together with the investor guide, it keeps your records tax-ready and shows your real return.
Who it’s for
It’s designed for small landlords and real estate investors with one to a handful of properties. It also works well for new investors comparing their first few deals.
What the rental property spreadsheet helps you do
- Run cap rate, cash flow, and cash-on-cash return before you buy
- Log income and expenses by property
- Build a Schedule E summary for your preparer
- Track depreciation for each property
What’s included
- Rental Property Investor Guide covering taxes, depreciation, passive loss rules, records, and selling (PDF)
- Investor Workbook with Property Analysis, Properties, Income & Expense Log, Schedule E Summary, and Depreciation tabs (Excel)
How it works
First, analyze any property you’re considering. Next, add the properties you own. Then, log income and expenses as they happen. Finally, hand the Schedule E summary and depreciation tab to your preparer at year-end.
Why rental records matter
Depreciation is required, not optional, and missed expenses cost you money. The federal rules are covered in IRS Publication 527. For more tools, see the rental property investor bundle.
Rental property spreadsheet FAQ
How many properties can I track? The workbook handles several properties at once, with income, expenses, and depreciation kept separately for each one.
Does it handle short-term rentals? You can track short-term rentals in the workbook. However, the tax rules for them can differ, so review the guide and talk with your preparer.
Does it calculate depreciation for improvements? Yes. Add each property and major improvement on the Depreciation tab, and the workbook calculates the annual amount for your preparer to review.
